Tasks to plan Rollout

  • Determine list of students who need iPads
  • Plan where iPads will stay
    • to start we placed most iPads in a cart kept with first block teachers;
    • for those students who didn't have a core 9th grade teacher 1st block we needed a few additional carts;
    • we also set up an empty cart with a lock for phys ed classes to use to store iPads during class
  • Add names to Assign section of Configurator - may want to add a group of users for each teacher, then add them to that to keep organizing simple
  • Check AUP(no revisions needed at this time) - include as pdf in Notability app [Configurator | Assign - Add to student file]
  • Create photos/videos to instruct students/teachers on proper use / care of iPads, basic tasks etc.
  • Develop FAQ (district communications director)
  • Test - if a paid app is synced with Configurator, can it be updated with MDM? No
  • Create Lock Screen image
  • Send letter to parents about iPad Pilot Program
  • Assembly with students to go over all information about iPads:
    • procedures for rollout
    • how they will be used in classes
    • where to store them etc.
  • Rollout over three days (November 2012)
    • Have 3 - 4 classes of students meet in cafeteria during 1st block; another 2 classes / groups of 10th-12th graders and tweeners who don't have 9th grade teacher 1t block. during ACP 2nd and 3rd day
    • Two 9th grade members of iTeam volunteer to help with rollout
    • Have additional tech support staff available to help along with the classroom teachers
    • Rollout procedure
      • Show students how to place case on iPad
      • Show iTeam video
      • Have students check to make sure there is no iTunes account (sign out if vpp account is still displayed)
      • Set up student email (cypanthers gmail accounts)
      • Set up free iTunes account using Bump as app to purchase (we may want to choose a different app next time - this one is small, but students use it to message too much - teachers can just have them install it as needed)
      • If time permits (otherwise 1st block teacher will show students),
        • Download iBook - Student Handbook for iOS
        • Setup Dropbox
        • Train students to 'cut, copy, paste'
        • Train students to Bookmark in Safari

CYHS iPad Setup Procedure

Create Master iPad Image (just click through setup, use configurator to add MDM enrollment profile, lock screen, webclips, apps)
  • Use Configurator to Backup Master
  • Note: Our 'image' is very simple; iPad preparation can be done with Configurator (without restoring from backup)
  • After unboxing iPads, place them in a cart
  • Setup Configurator to Prepare -
    • Name: (CYHS iPad # - check sequential number)
    • Supervision: On
    • iOS: Latest
    • Restore: Don't Restore Backup
    • Profiles:
      • CYSD Network Settings
      • Enrollment Services (for Lightspeed MDM - profile downloaded from lsmdm.com),
    • Set lock screen, webclips for student home page and link to iBook student handbook for iOS
    • 'Prepare' iPads in cart
    • Label iPads with iPad number and student name
    • Place in cart
    • Label cart with teacher / room location

Post Rollout Tasks

  • Find homes for 10th - 12th grade iPads
    • Put some or all of these in the cart with their 9th grade teacher; others in tech office
    • We need power strips to add extra iPads to the cart (so they can be locked up and charged, but not synced)
  • We will need a list of students who need to turn in iPads at the end of the semester
  • Withdrawn and new student procedure - Guidance should notify tech staff when new students need an iPad (9th grade or 10th - 12th grade students taking 9th grade core class)
  • Review procedure and update notes
  • Make database (we used Filemaker Pro 12) to track iPads and students
    • iPad Name
    • Serial Number
    • Student Name (last, first)
    • Cart location - room number
    • Teacher name (last, first) - of cart location
  • Update iPads as needed. We did this at the semester break for all students. Note that if students put a passcode on the iPad, this may not work. It is best to make sure students remove passcodes before connecting to Configurator. Also - since we had far too many apps, updates took a long time.
  • Survey students and teachers during pilot program.
  • Send iPads home with students to extend learning outside of the classroom (March).

Generic iTunes account using procedure for 'free' accounts (attempt to purchase free app, then create account from there):
Create generic student account in our google apps for education and use that as email address

Notes for Future Rollouts

  • Someone else (not tech staff) should generate the list of students who need iPads
  • Better organization of iPads in carts (i.e. 10th - 12th grade etc.)
  • Profiles do not get backed up with Configurator backup
  • To connect to MDM WiFi must be connected (make sure to have at least two profiles - one for MDM and one for school WiFi settings - plus other settings as needed)
  • To make setup easier, we turned off the radius, then inventoried the iPads to get the MAC addresses and add them to the list - In the future it would be easier to ask Apple to provide the information and upload it before starting iPad setup
  • Have either no apps or a very small number of apps (paid only) for students. One possibility is to give gift carts to students to purchase apps; another is to have paid apps only on Configurator (students would be responsible for downloading free apps).
